Related information can be set in user management

1. Add New User

In Tab: Basic / User

Select 'Add New User' as picture below

You can see the button to add a new user at the top. The new user screen is as follows:

In the new window open, we enter user data (note information have symbol “*” is request input)

Set the following personal information:

·            A2UserID

·            A2UserName,

·            A2UserType

·           Login ID: Individuals use this account to log in to the system

·           Password: Every Login ID will have password

Minimum Password Requirement 

Password length at least 8 characters 

At least 1 lower character

At least 1 Upper character 

At least 1 numeric character

At least 1 special character

·           Business Unit: Select a Business Unit

·           Major User Group : Select a default a2user group from drop-down list

·           IsActive : is active for new user

After you complete information, click Submit. Then close the window. Select the user ID you want to modify to enter the editing screen.

2. Edit User

Click "User ID" to enter the editing screen

Enter the user editing screen:

2.1. User setting

Click on “User settings” tab, the following screen will appear:

  • Job Description

    Write down the user of job description and then click on “submit” button to save your data

  • User group

      Click on user group tab the following screen appear,this tab is for setting user group.

  • Proxy

You can set Proxy to sign transactions, fill in Process Name and Process Type. Example: Process Name = AccountPayable.

Proxy can sign documents on their behalf, and different documents must be set individually.

  • Change password

The password for users to log in to the system and can be modified. The password has set restrictions. Click "Change" after completion.

  • User Mapping

  • User Signature

In this screen, you can upload signature files, usually image files or text files.

  • Email Signature

You can set the email signature and click “Submit” to save after inputting.

Can add personal contacts

2.3. To-Do List

·           To-Do List

Can check personal to-do tasks

·           Not Complete To-do List

This screen is to show incomplete tasks

·           Personal Calendar

You can check your personal calendar to see if there is a personal calendar or reservations for vacations, venues, etc.

To make an appointment, you need to go to My area, choose tab “My Attendance” and  “My Schedule Type” to access

·           Search To-do List

Search all personal to-do items and display them in a list

2.4. HR Settings

Personal salary, such as basic salary and other information can be set. Detailed settings need to go to employee management.

2.5. Transport Setting

Set the user's mode of transportation and round trip distance to calculate carbon emission data. For details, please see ESG Management

2.6. Project Member/Task Setting

2.6.1. Project Member/Task

This tab shows this user who is joining which projects and user’s related project tasks

2.6.2. Add Project Member

This tab shows projects that user hasn't joined. To add this user to the project:

1. Pick choose the project

2. Select Permission for user

3. Click "Add Project Member" to add

2.6.3. Create Project Task

This tab is a quick way to create project tasks without going to project screen to add. It will display  project ID and schedule with planned date.

To create new task:

Pick choose the Project ID with Project Schedule, then fill in Subject, Time, Planned hour and teser. Finally, click "Create Task Fast" button

Back to the first tab “Project Member/Task” to see new task.

2.6.4. Draft Timesheet/Upload

This tab is for uploading timesheet file / confirming timesheet status

- Confirm selected draft timesheets to Active status

Pick choose TimesheetID, then click “Comfirmed to Active” button > OK

After updating, selected timsheet will disappear. At timesheet screen, status = active.

- Upload Timesheet

Then, Pick choose TimesheetID > Click “Update Timesheet”

System will base on data in excel file to update for timesheets: content, working hours,...

Note:

+ With each timesheet ID user picked, system will base on the last file to update.

+ TimeSheetID in excel file need to match with TimeSheetID in Draft Timesheet, then can update.

+ To get excel form, please go to Project Management > tab Timesheet > Export/Upload Timesheet and user must create draft timesheet before.

2.7. Related Virtual Users

This tab is to add / delete virtual users.

2.8. Company Shift A2User

Users can set different shift

In the user scheduling screen, you can see that these available shifts have been set.

you can change shifts during shift scheduling, click on the date to enter the shift date scheduling

Select the shift to change and click submit

2.9. Process Log

In this screen, you can view the user's data change records, which will record the change person, change time and change field

3. User Management

3.1. Search Users

Click on “Search Users” tab, the following screen appear

Fill data on some fields to search user such as: UserID, User Type, UserName, Business Unit….

3.2. Search Draft Users

This tab is to search user with status = Draft (not a valid user)

3.3. New Customer User

You can add customer user in this tab. Fill in Customer User ID and password, and then customer can login to system.

3.4. New Supplier User

You can add supplier user in this tab. Fill in Supplier User ID and password, and then supplier can login to system.

3.5. User Group

All user groups and group departments are showed in this tab. Click "User Group" to view relevant permissions.

3.6. Statement

In this screen, you can view the user name, department, etc

3.7. Online help

On this screen, you can view online documentation or help content. If you need to upload files, you need to go the setting page of the approval process.
